Summary of Settings
| Settings | Explanation of Settings |
|---|---|
| Allow Drivers to Edit Carried Forward Defects | When you enable the setting to allow drivers to edit carried forward defects, when they start a new inspection on an asset that has defects that haven’t yet been marked as repaired, they will be able to update the comment and photo attached to the defect. They will not be able to remove the defect or change the category, condition or severity of the defect. This gives a driver the ability to add additional context to a pre-existing defect. |
| Allow Drivers to Mark Carried Forward Minor Defects as ‘Not a Defect’ | When you enable this setting, drivers can mark a carried forward minor defect as ‘Not a Defect.’ This may be desirable in the following scenarios: • The defect is no longer occurring on the vehicle • The defect is not substantial enough to be considered a defect for vehicle inspection purposes (e.g. the previous driver recorded a paint scratch as a defect) and the driver doesn’t agree that should show up on their DVIR as a defect • The defect was fixed but you haven’t had a chance to mark it as repaired on Unity and you aren’t available to do that before the driver starts driving for the day. The driver doesn’t want to submit a new DVIR showing a defect when it doesn’t really exist. In this scenario, the defect would be removed from the driver’s DVIR for the current day but will still show in your defect list with the ‘Not a Defect’ status. You can add a note to the defect to indicate that it was actually repaired. |
| Allow Drivers to Mark Carried Forward Major Defects as ‘Not a Defect’ | • Drivers can mark a carried forward major defect as ‘Not a Defect.’ This option is available for fleets that want to enable drivers to address major defects fixed on the road, without waiting for office approval. The setting is optional, as it poses safety and compliance risks. |
| Make Photos Required when Submitting a Defect | Since drivers are able to add photos when they report a defect, you may want to make it required that they always take at least one photo of each defect they report. When you enable the setting ‘Photo of each defect required’ drivers will not be able to save a defect without including a photo. |
| Allow Inspection of Non-Fleet Assets | Non-fleet assets are not added to your asset list, therefore every time you inspect an asset, it will be added to the system as a new entry. Defects cannot be carried forward and cannot be accepted or rejected by drivers. If a driver uses a non-fleet asset more than once, they will have to enter the details of the asset each time. |
| Allow Review of Previous Inspections Workflow | Drivers are required to complete a DVIR at the end of their day, but prior to starting to drive for the next day, they must review the last DVIR for their asset to ensure there were no defects reported and that it’s in good working order to start their trip. |
| Drivers must check each category | When you enable the Drivers must check each category setting, and a driver is on the view/log defects tab of a new inspection, they will need to go through each category and either add a defect or check the box that says there are no defects in the category. The next button to advance to the submit screen will not be enabled until each category is checked off. |
| Require photos of each asset being inspected | When you enable the Requires photos of each asset being inspected setting, drivers will be required to take at least one photo of each asset they are inspecting when completing a DVIR. |
| Enable driver sign-off on repaired defects | Drivers are typically required to review and accept or reject repaired defects on a DVIR. However, this step is not mandatory in all jurisdictions. To make this process optional, you can disable the Driver sign-off on repaired defects setting, which removes the requirement for drivers to review repaired defects. Disabling this setting hides repaired defects from drivers, removes them from future inspections, but keeps them marked as repaired on the original inspection. |
| Drivers must accept/reject repaired defects to submit DVIR | Enabling this setting makes it so drivers cannot submit their DVIR without either accepting or rejecting all repaired defects. If you disable the above, Enable driver sign-off on required defects setting, the Drivers must accept/reject defects to submit DVIR setting will be disabled and hidden automatically and cannot be enabled, since this setting is not relevant unless the previous setting is enabled. |
